Home Secure Panel A – Scheduler

Use this page to schedule yourself to serve as a reviewing IRB representative at a Panel A convened IRB meeting.  Only current, active members of the IRB should use this page to schedule their meeting attendance.

How to Use the Calendar

  • Select the date to see the time of the meeting and how many spots are available. If that time works for you, select Continue.
  • The first time you use this scheduler, you’ll need to input all your information. First and Last name and email are required, while phone number is optional.
  • Then select Complete Appointment.

The above information details how to schedule yourself for individual or single appointments. Let’s say, however, that you know the second Thursday of every month at 4:30pm will work great for your schedule and you want to sign up for several appointments at a time. Great news! You can!

  1. When you click on the date of the appointment/meeting you’d like to attend, instead of selecting “Continue,” you can select Recurring…
  2. Selecting this option will bring up a window asking you to specify the repeat frequency. To correctly set the recurrence, you’ll need to select the 2nd to last repeat option. This option follows the UUIRB meeting schedule.
    • NOTE: This method cannot be used for the meetings that occur on the 5th Tuesdays or Thursdays of the month because not every month has a 5th Tuesday or Thursday. Instead, it’ll schedule you for every 5 Tuesdays or Thursdays, which is not correct.
  3. Next, you’ll indicate the number of times to repeat. If you wanted to attend the 2nd Thursday of every month for half the year, you’d put the times to repeat as 6.
    • NOTE: that this can only be scheduled as far as the IRB has created the appointments. We generally schedule for one calendar year, so 12 times to repeat is likely the limit, if signing up with a beginning date of January.
  4. Now select Add Recurring Times.

 

There is another way to add multiple appointments at the same time that aren’t recurring.

  1.  If you select Add a Time… the date you’ve selected will be added, but then you can select another date and select Add a Time
    • You can select as many appointments as you’d like before you select Continue and are asked to input your information.
    • You may also delete any that you accidentally added before selecting Continue.

Confirmation Page

The confirmation page will detail the type of appointment, date, and time with options to cancel and reschedule. It also allows you to add this appointment to your calendar, register for an account and schedule another appointment. There is also a QR code if you want to schedule appointments from your cell phone.

Register for an Account

If you choose to register for an account, you’ll be asked to create a password. This saves your information to allow for faster booking when you book in the future. This is entirely optional.

Confirmation Email

In addition to the Confirmation page when you schedule an appointment, you will also receive a confirmation email to the email address you provided. Your confirmation email will include the date(s) of your appointment(s), your name, the type of meeting you’re attending, and the location.

NOTE: because Outlook is the email platform used by the University of Utah, this is the calendar system we have documented here. There are also links provided in the scheduler to add the appointments to Google Calendar and iCal. There are multiple ways to add your appointments to your calendar.
  1. The first is on the scheduling confirmation page. Adding the appointment to your calendar will open a download box (example shown in Microsoft Office, not Mac). Double click and select Import.
    • NOTE: Depending on how your Outlook is configured, using this link may be more difficult than adding it from your confirmation email. It is possible, but if opening this link doesn’t immediately open your Outlook calendar, don’t worry. There are other options to add this to your calendar.
  2. The confirmation email contains multiple links to add the appointment(s) to your calendar. There are individual appointment attachments at the top of the email.
  3. ***There is also an option at the bottom of the email. If you select this option at the bottom of the email, all scheduled appointments will move to your calendar at once, instead of adding them individually.
    • Selecting this will open a download window.
    • Double click and select Import.
    • All of the appointments will now show in your calendar.
  • Panel A Members should plan to sign up for at least 2 hours of convened board meetings per month.  This means you will need to sign up for two (2) Panel A meetings each month.
    • If a Panel A meeting is cancelled, you still get "credit" for your intention to attend that meeting.
    • If a Panel A meeting does not run for a full hour, you still get "credit" for the hour.
  • To be considered a member in good standing, we expect our members to attend at least 75% of their board meetings each year.
  • Members are invited to schedule their own meeting attendance as far in advance as they would like to.
